We are looking to fill a full-time receptionist position in our Health Department. Hours of work: Full-time Monday to Friday (35 hours per week)

PURPOSE AND KEY FOCUS

The Receptionist is responsible for providing senior-level secretarial, clerical, and administrative services for the division.

JOB SUMMARY

The Receptionist is responsible for providing support to the departmental staff and assisting visitors when they report to the front desk. Such support will entail secretarial, clerical, and administrative duties in order to provide services in an effective and efficient manner. We are seeking an individual that has an interest in Health, is a fit within the Health Department and is willing to grow into this position.  We will provide extensive training and support.  Consideration will be given to those applicants who have an interest but do not meet the education and training requirements. 

REPORTING STRUCTURE              

Reports to the Director of Health

JOB DUTIES AND RESPONSIBILITIES

  • Provide office support services in order to ensure efficiency and effectiveness within the Health and Wellness department
  • Receive, direct and relay telephone and fax messages
  • Process incoming and outgoing mail
  • Open and date stamp all general correspondence
  • Maintain general filing system including filing all correspondence
  • Taking minutes and recording of meetings; drafting and distribution of minutes
  • Assist in preparations for Council and committee meetings
  • Financial Analysis, budgeting, adjusting formats, creating income & cash flow statement
  • Responding to public inquiries
  • Provide data-processing and secretarial support
  • Type confidential documents on a word processing system
  • Maintain an adequate inventory of office supplies
  • All persons employed by Splatsin may be required to assist the Band in providing emergency services.  Duties assigned during an emergency may differ from regular duties.
  • Participates in community events as requested

ADMINISTRATIVE DUTIES

  • Greet, assist and/or direct students, visitors, and the general public
  • Re-directs calls as appropriate and take adequate messages when required
  • Liaise with other Splatsin staff and membership
  • Monitor use of supplies and equipment
  • Coordinates the repair and maintenance of office equipment
  • Attends meetings when required
  • Assist the Director of Health as requested
  • Attends meetings when required
  • Performs all duties and responsibilities in accordance with Splatsin policies and procedures
  • Perform other duties as required

QUALIFICATIONS

Education

  • Grade 12 or equivalent
  • Office Administration Certificate or equivalent preferred

Experience

  • Office administrative support experience
  • Advanced knowledge of the Microsoft Office Suite
  • Experience working with confidential information
  • Experience working with First Nations communities

WORKING CONDITIONS

Physical Demands

The Receptionist will have to spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Receptionist may also have to do some light lifting of supplies and materials from time to time.

Environmental Conditions

Health Services is a busy facility. The Receptionist may have to manage a number of projects at one time and may often be interrupted frequently to meet the needs and requests of visitors and departmental staff. The Receptionist may find the environment to be busy, noisy and will need excellent organizational, time and stress management skills to complete the required tasks.

Sensory Demands

Sensory demands include the use of the computer, which may cause eyestrain and headaches.

Mental Demands

The Receptionist will have to manage a number of requests and situations at one time. Stress may be caused by the need to complete tasks within tight deadlines. The Receptionist will need to maintain a calm, respectful yet firm demeanour requiring cognitive effort to deal with various behaviour and needs of clients.

CLASSIFICATION/PAY SCALE

Commensurate with experience.
